Hiring your first employee is an exciting milestone. It is also the point where your business becomes responsible for much more than paying someone a monthly salary.

For many founders, the first hire happens quickly. A candidate is identified, the salary is agreed, an offer is issued and the focus moves immediately to getting them started.

But the questions that come after are just as important.

Who manages their leave? What happens during probation? How will payroll work? What documents should be retained? What happens if the employee resigns? And who is responsible for making sure everything remains compliant?

Getting these foundations right from the beginning can save considerable time later.

Start With the Employment Structure

Before issuing an offer, the company should be clear about the fundamentals.

The role should have a defined purpose, reporting line, salary structure, working arrangement and responsibilities. The employment documentation should reflect what has actually been agreed with the employee.

This sounds straightforward, but growing businesses often end up with different information appearing in the offer letter, employment contract, payroll records and internal HR system. Those inconsistencies become much harder to correct once the workforce starts growing.

Think Beyond the Employment Contract

An employment contract is important, but it is not an HR system. From the first employee, a business should begin thinking about:

  • Onboarding
  • Employee records
  • Attendance and working hours
  • Leave
  • Payroll
  • Probation
  • Performance
  • Company policies
  • Employee separation

The company needs the right amount of structure for its size.

Don't Forget Probation

Probation should be actively managed rather than treated simply as a date in the employment contract.

Under the UAE federal private-sector framework, probation cannot exceed six months. Managers should know when an employee's probation ends, what performance is expected and when feedback should be provided.

Waiting until the final few days of probation to assess an employee creates unnecessary risk.

Connect HR and Payroll From Day One

Before the first salary is processed, make sure the company knows:

  • Who provides payroll information?
  • Who checks it?
  • Who approves it?
  • How will changes be documented?

Where applicable, employers also need to understand Wage Protection System requirements. MoHRE's current employer guidance emphasizes that employees should receive wages in full and on time through the applicable WPS arrangements.

Build for Employee Number Ten, Not Just Employee Number One

Your HR structure does not need to be complicated. But it should be capable of growing.

A simple employee file structure, an onboarding process, basic policies, payroll controls and clear management responsibilities can create a foundation that supports future hiring.
